Kyoto University has a comprehensive licensing agreement with Microsoft called EES (Enrollment for Education Solutions), which makes it possible for faculty, staff, and students to use their cloud services and software products, including Office, without individual cost.

Features

  • Office suites, such as Microsoft 365 Apps for enterprise, are available to make documents, do spreadsheet calculations, and prepare for presentations.
  • Save and back up 100 GB of your data in the OneDrive cloud storage.
    Note: Originally limited to SPS-ID holders, OneDrive has been available to ECS-ID holders since March 24, 2023.
  • More online productivity applications are available with your Microsoft 365 account.

  • January 14, 2025: [For Faculty and Staff] Kyoto University CO-OP has started selling license upgrades (A1 to A3) for those who only have a Microsoft 365 A1 license of the university (such as Professors Emeritus and part-time lecturers), and Copilot for Microsoft 365 for those who have a Microsoft 365 account of the university (SPS-ID or ECS-ID holders). For details, please refer to Section 6 "Kyoto University M365 Individual Additional License newly purchasable at Kyoto University CO-OP" in the User Guide.
  • October 16, 2024: [For Faculty and Staff] Updated the default distribution version of the on-premises version of Office (Professional Plus/Standard) provided for shared PCs to version 2024.
  • July 3, 2023: [For Faculty and Staff] Started providing Microsoft 365 A3 licenses. Since it takes about one day to take effect, those who need to migrate should perform the tasks after July 4.
  • June 6, 2023: Updated the Azure Dev Tools for Teaching section in the User Guide (Japanese and English).
  • April 24, 2023: Published the Frequently Asked Questions (FAQ) and Answers.
  • March 24, 2023: Made OneDrive available to all users.
  • February 21, 2023: Published the User Guide (Japanese and English) and added the log-in URL.
  • Held an explanatory meeting for faculty and staff on February 3, 2023. The materials are available on the groupware for faculty and staff (Garoon).

1. Before You Begin

Here's what you should know:

  • If you have a campus account (ECS-ID or SPS-ID), you are eligible for Microsoft 365 services. A Microsoft 365 account is required to use the service, so please follow the instructions in the User Guide to find your account. If you are an ECS-ID holder, it's the same as your university email (KUMOI) address and looks like: *@st.kyoto-u.ac.jp; if you are an SPS-ID holder, it is *@ms.c.kyoto-u.ac.jp.
  • If you are a faculty/staff member with an ECS-ID or working at Kyoto University Hospital as medical staff, some services may not be available. (See the User Guide for more details.)
  • Kyoto University CO-OP sold Microsoft 365 licenses under the EES campus agreement until the end of February 2023. If you have already bought a license that is valid as of the end of February 2023, you may need to transition to another Microsoft 365 account provided by the university. Please read the instructions in the User Guide to determine whether or not the transition is required for you.
  • At this moment, almost all services and functions that involve some collaboration between users are severely limited due to past operational policies. (See the User Guide for more details.) We are planning to make changes to these policies to give users more flexibility in the future, but please be aware that certain uses of our Microsoft 365 services may not work as expected.
  • With a personal Microsoft account, you can use OneDrive for free up to 5 GB.
    While OneDrive is also available with the Microsoft 365 accounts provided by the university, its storage capacity is part of the shared storage for the entire university, and the total capacity is limited.
    One of OneDrive's features is the backup function (automatic synchronization). If you enable this, you might unintentionally consume the shared storage capacity and affect other users' access.
    Therefore, we would appreciate it if you could turn off OneDrive's backup function (automatic synchronization) as much as possible. For details, please refer to About OneDrive's backup function (Japanese only).

5. Cancellation

When you leave the university, you will automatically lose access to these software products and cloud services. You will need to uninstall them or purchase a corresponding license. Because your data will also be lost, you must back up your data to another location or transfer it to another person before you leave.
