Why can’t I join a Teams invitation from an external organization?

If you are unable to join a Teams invitation from an external organization, there may be several possible causes.
The method of access depends on how the external organization invited you.

Types of invitation links

There are mainly the following two types of invitation links:

Link without specifying users: In this case, anyone who has the link can join the meeting or team.

Link specifying users: In this case, you must sign in with the specific email address (Microsoft 365 account) that was invited in order to access it.

If you were invited using a Kyoto University email address

Faculty and staff often communicate using the university-wide email address in the format *@kyoto-u.ac.jp, but this address usually cannot be used as a Microsoft 365 account.
Therefore, even if an invitation is sent to this address, you will not be able to access it.

If you ask an external organization to create an invitation link specifying users, please request that they specify your Microsoft 365 account in the format *@ms.c.kyoto-u.ac.jp.

*Students and others who have an ECS-ID can use their email address (*@st.kyoto-u.ac.jp) as a Microsoft 365 account, so they can access the invitation by having it sent to their student email address.

How to check the invitation email

If an invitation is sent to your *@ms.c.kyoto-u.ac.jp account, the invitation email will also be delivered to that address. Please check it using the following steps:

1. Sign in to Microsoft 365 Copilot (formerly Microsoft 365 portal).

2. Select “Outlook” from “Apps.”
3. Check the invitation email and access the link.
