How can I update my Microsoft 365 account after my surname has changed?

Last updated on September 12, 2025

When your name changes, your Microsoft 365 account must be updated (a new account will be created under your new name, and your old account will be deleted). Services that you were signed in to using your old account will no longer be available, so please sign in again using your new account.

Office apps

You can switch accounts in Office apps (Word, Excel, etc.) by following the steps below:
1. Launch any Office app.
2. Select “File” > “Account,” then click “Sign out.”
3. After signing out, sign in again using your new account.

[Important] OneDrive

Data in OneDrive is not transferred automatically. Once the name change process is completed, your old account will be deleted and you will no longer be able to access it. Be sure to download your data in advance before completing the name change procedure.
When downloading a large amount of data from OneDrive on a web browser, download errors may occur due to system limitations.
In such cases, please download your data using the OneDrive desktop app. After downloading your data, switch the account in the desktop app by following the steps below:
1. Click the blue cloud icon in the taskbar, then click the gear icon and select “Settings.”
2. Click “Account,” then click “Unlink this PC” to unlink (sign out).
3. Enter your new account name and click “Sign in.”
4. When the “Your OneDrive folder already exists on this PC” screen appears, click “Use this folder.”
5. When the “Back up your folders with OneDrive” screen appears, be sure to click “Skip for now.”
6. Follow the on-screen instructions to complete the setup and start using OneDrive again.
