What happens to the data entered into Microsoft products (such as Microsoft 365 and Copilot) provided by Kyoto University?

Microsoft 365 services provided by Kyoto University to its members (including Microsoft 365 Apps for enterprise, Microsoft 365 Copilot, Copilot Chat, etc.) are offered under an agreement for educational and research institutions (within an environment based on authentication via Entra ID).
Some of these services include features powered by generative AI. When using such features, data entered by the user (such as documents, emails, and chat content) is sent outside the university (to Microsoft’s servers), where it is processed, and the results are then returned and reflected in responses to the user.
According to Microsoft’s explanation (Enterprise data protection in Microsoft 365 Copilot and Microsoft 365 Copilot Chat), data sent to Microsoft is used only for the provision and operation of the service, and is not used for any other purposes (such as being stored as training data for improving Microsoft services or being disclosed to third parties).
Such data protection is applied when you are signed in with a Microsoft account provided by Kyoto University (faculty and staff: *@ms.c.kyoto-u.ac.jp; students: *@st.kyoto-u.ac.jp). It does not apply to Microsoft accounts not provided by Kyoto University (e.g., personal Microsoft accounts such as @outlook.com), so please always check which account you are using when using these services.
For example, when you sign in with a Kyoto University Microsoft account and use Copilot, regardless of whether it is the free version or a paid version with additional cost, a green check mark (icon) indicating “Enterprise data protection” will be displayed on the screen. When you hover over this icon, a message such as “This chat is protected by enterprise data protection” will appear, as shown in the figure below.
