Graduating

This page is for 'Students'. Part-time lecturers and Others should visit here.

When registration is removed from Kyoto University, ECS-ID(Accounts for Students and Part-time Lecturer, etc.) be suspended. Various IT systems and services, such as KUMOI(Email Service for Students), will accordingly be unavailable. You will need to back up any necessary files and set up email forwarding before you graduate. Please note that the details you need to prepare will vary depending on graduation or status change. For more information, click on the links below.

1. Graduates from the University

  • University graduate*
  • Master's graduate

*If you are going on to a postgraduate course at the University, please refer to '2. Enrolling as a student at the University for postgraduate study, transferring to a different department, etc.'.

2. Enrolled as a student at the University for postgraduate study, transferring to a different department or faculty, etc.

  • Undergraduate student ⇒ Graduate student
  • Graduate student ⇒ Research student
  • Research student ⇒ Graduate student, etc.

3. Enrolled at the University after graduation with the following roles

  • Faculty and staff
  • Part-time Lecturers
  • JSPS Research Fellow
  • Contract Researchers, Trainees, Other researchers accepted in accordance with the University's regulations

1. Leaving the University

ECS-ID will be suspended when the registration is removed from Kyoto University. Various IT systems and services such as KUMOI will not be available accordingly.
By the time you graduate, please address the following.

  1. Backup of necessary files
    Please back up all necessary files saved on the Educational Campuswide Computing System PC terminals or on cloud storage to your personal computer.For files stored on the PC terminal of the Educational Campuswide Computing System, log in to the PC terminal and save the necessary files to a USB memory stick, or save the files to your own PC, etc. via cloud storage.Please back up your files to your own PC, etc. via cloud storage. Files shared via cloud storage will also be inaccessible to the person sharing the file if the account is suspended. >Please organize shared files in advance if necessary.

  2. Back up necessary emails
    ECS-ID are not available when they are deactivated.

  3. Forwarding settings for Mail
    By setting this up, you can receive emails sent to KUMOI at the forwarding address.
    The transfer period is one month after ECS-ID is suspended (until the end of April if the student graduates in March).

  4. Those who want to use Lifetime email address
    For Students, Lifetime email address is available by registering with KUON, the Kyoto University Alumni Service.
    For more information, visit the KUON website.

  5. Notification of new email address
    Please inform the relevant person of the email address you will be using after graduation, as KUMOI will no longer be available.

2. Enrolled as a student at the University for postgraduate study, transferring to a different department or faculty, etc.

Please continue to use the same ECS-ID and KUMOI. No procedures are required.

If you have received a new 'Account (ECS-ID) Activation Notice',
If a different ECS-ID is listed than the previous one, it may be a double issue. Please contact us from the "Inquiry" page.
If the same ECS-ID is listed, the 'Activate' operation described in the notification is not required.

3. Enrolled at the University after graduation with the following roles

The details you need to prepare differ depending on your roles. Click on the links below for more information.

Faculty and staff

Upon graduation, ECS-ID is deactivated. Accordingly, various IT systems and services, such as KUMOI, will no longer be available.
Please check and respond to "1. Leave the University" before graduation.
Faculty and staff are provided with SPS-ID(Accounts for Faculty and Staff) and KUMail(Email Service for Faculty and Staff) will be issued. Please use that from then on.
*Here, 'faculty and staff', who are eligible for SPS-ID, refer to those employed by Kyoto University. For more information, see 1. Target persons.
About M365.
Microsoft365 (A3) licence and sign-in account (in the form of *@ms.c.kyoto-u.ac.jp) will be granted in connection with SPS-ID issued. If you have been using OneDrive with a sign-in account linked to your ECS-ID (in the form of *@st.kyoto-u.ac.jp), your data will not be transferred. Please save the data in use on your own local drive.

Part-time Lecturers

The same ECS-ID and KUMOI can be used by completing the change of identity procedure*. For more information, see Application procedure.
*Some applications may be processed through the department, so please check with the departmental teaching office before applying.

JSPS Research Fellow

Of those who will become Kyoto University JSPS Research Fellow,

  • Those who plan to be employed as "Specified researcher (PD, RPD or CPD)".
    Upon graduation, ECS-ID is deactivated.Accordingly, various IT systems and services, such as KUMOI, will no longer be available.
    Please check "Faculty and staff etc" before graduation and take action.
    After employment, SPS-ID(Accounts for Faculty and Staff) and KUMail(Email Service for Faculty and Staff) will be issued. Please use that from then on.

  • Those who plan to be in a non-employment form as a fellowship type.
    The same ECS-ID and KUMOI can be used by completing the change of identity procedure*. For more information, see Application procedure.
    *In some cases, the procedure is carried out through the department, so please check with the Research Promotion Department before applying.
    About M365.
    You can continue to use same ECS-ID, but Microsoft365 licence granted will be A1 due to the change in the attributes of the ID. With this A1 licence, you will not be able to use the type of Office installed on your PC and your OneDrive capacity will be limited to a maximum of 100 GB. If you are already using OneDrive and your usage capacity exceeds 100 GB, you will not be able to edit the data (you can read and delete), so please ensure that your usage capacity is less than 100 GB.

Contract Researchers, Trainees, Other researchers accepted in accordance with the University's regulations

The same ECS-ID and KUMOI can be used after the change of status procedure. For more information, see Application procedure.
About M365.
You can continue to use same ECS-ID, but Microsoft365 licence granted will be A1 due to the change in the attributes of the ID.
