Beginner's Guide for Faculty and Staff

Kyoto University provides a variety of IT systems and services to support the research and educational activities of its faculty and staff, as well as related work in general. This section introduces the basic flow of using the university's IT systems and services for new members of the university.

Activate Your Accounts and Set Up Multi-Factor Authentication

Please prepare the 'Account (SPS-ID) Activation Notice' distributed through the Department and follow the steps below to activate your account and set up multi-factor authentication.

Activation Procedure

  1. Access "ID Management System"

  2. Enter "SPS-ID" for ID and "Activation Key" for activation key, and click "Login" button.

    "Activation Key" is only used to log in to ID Management System. It is not the password for the ID.
  3. Enter the password and check the rules of use.

    The password you set here will be used for various systems and services in the future. Make sure you do not forget it.

  4. Check the "Check box" after confirming the rules of use.

  5. Click the "Execute" button to activate your account.

  6. Click the "Logout" button to log out of your account.
    If you see the above message, click the "Logout" button.

    Messages other than the above will result in an error. Please check the message and correct it by clicking on the 'Back' button.
  7. Set up Multi-factor Authentication.

    Please refer to the 'First time settings' section to set up your smartphone or browser.

This completes all settings.
In the future, when you are asked to authenticate using your university-wide account (SPS-ID) for various services applied by Kyoto University, please use the password you set here.

Take Information Security e-Learning

It is required that all Kyoto University Students , Faculty-members and Staff take every fiscal year the lecture called "Information Security e-Learning". Please be sure to take Final Test after learning. Please take absolutely this course within one month after being recruited.

Connecting to the Network

You can connect to the Internet through the KUINS network on campus at Kyoto University. A wireless LAN called KUINS-Air is available in open areas such as classrooms and meeting rooms. If you wish to use a wired LAN in a laboratory or office, please refer to 'Guide for Starting-up Network Environment'.
In addition, a VPN service is available for those who wish to connect to the university network from off-campus via the Internet.

Use the Campus-Wide Email Service and Faculty and Staff Groupware

Teachers and staff can use the teachers' Email Service for Faculty and Staff (KUMail) for sending and receiving emails in your daily work, and Faculty and Staff Groupware for sharing information between teachers and staff and accessing various business tools.

Get Microsoft Office and Other Software

We negotiate with vendors to make software available to the Kyoto-U community for discounted rates or at no individual cost. This includes the Microsoft Office suite, MATLAB, and some more titles.

Register in Activity Database on Education and Research

The Education and Research Activities Database (KDB) is a tool used to publicise education and research activities as stipulated in the School Education Act (Article 113), as well as to promote the results of your own activities. KDB is being maintained for the purpose of publicising "information on the degrees and achievements held by each teacher", so please register and publish your own achievements when you receive an invitation to register from KDB.

The Preparation of the Necessity PC Environment for Work From Home

If you work from home in accordance with the 'Regulations on teleworking for teaching staff', you must be prepared to use the university's IT systems and services in a remote environment. 'Guide for PC environment preparation for work from home' provides information on the steps and precautions to take when setting up a PC environment for telecommuting.

Using e-journals and databases

Electronic resources such as e-journals and databases essential for research and educational activities are available. For more information on how to access these resources, please refer to Kyoto University Library Network website.

Use your lifelong email address

For full-time faculty and staff, a lifelong email address is available by registering with KUON, the Kyoto University Alumni Service.
