There has been a specification change where the "Shared externally" icon is now displayed on Google Drive files.

■ Phenomenon Occurring
If a file is shared with a "Secondary Group" (2次グループ) of the Faculty and Staff Groupware, this icon may be displayed even if the file is not actually shared with members outside the university.

■ Cause
This is due to a specification change implemented by Google on May 26, 2026.
Because the Secondary Groups of our university are configured to allow external email addresses for members, the system now determines that "there is a possibility of external sharing" and displays the icon uniformly.

■ Request to All Users
Even if the icon is displayed, it does not mean that information has been leaked immediately.
You can check the actual and accurate sharing partners from the "Share" button of each file.
Please periodically check whether unintended parties (such as outsiders) are included, and ensure operation with appropriate sharing settings.
