Acquition, breakage and loss of a IC card FAQ

In case of expiration and or missing of Authentication IC card, we will reissue the new IC card.

In this case, the card number and the information stored will change. Please follow the procedure as follows in receiving a new card.

  • In using the system which requires the authentication with card such as Financial accounting system and or certificate of employment issuing system etc.

It's required to change your PIN. Please change your PIN referring to the following URL.

  • In using electric money from CO-OP

Initial setting to your new card will be required. Please bring your new IC card to CO-OP to do initial setting of electric money and to transfer the point and balance in your old card to your new card.
Then the membership number seal will be given. Please attach the seal to designated place on the back of your card.

※In implementing the control for entering and leaving a building with Authentication IC card, the registeration to the control for entering and leaving a building system will be required.

Please contact the division in charge of the system.

Please report the matter to the department you belong to or to someone in a department close by. In addition, the Registrar and Planning Section of the Education Promotion Department (Yoshida South Campus, Yoshida South Building No. 1, 1F), the Employee Section of the General Affairs Department, (Main Campus, Main Building 5F) and the ICT Support Center (Yoshida South Campus, the Academic Center for Computing and Media Studies, South Building 1F) will accept the card you found.

ICカードは貸与品ですので再発行の場合は費用負担をお願いしています.京大生協でICカード用クーポンを購入し,所属部局の担当の方にクーポンを渡して再発行を申請してください.
なお,ICカードクーポンには,1IC学生証(FeliCaカード),2認証ICカード,3施設利用証の3種類がありますので,購入時にどのカードの購入かを申告してください.

※生協の電子マネーを利用されていた場合は,停止する必要がありますので,京大生協本部・組合員センターに連絡してください.なお,再発行されたカードには,改めて電子マネー初期設定が必要となりますので,生協ショップへ持っていって設定を依頼してください.利用停止した時点の電子マネー残高(並びに貯まっていたポイント)がチャージされます.

Your IC card is something lent to you by the university, so we will ask you to pay for the cost of reissuing your card. Specifically, purchase a coupon for an IC card at the Kyoto University Co-op, give the coupon to the person in charge of IC cards in your department, and apply to have your card reissued.

When you buy a coupon for an IC card, please state the kind of IC card you need- 1) an IC Student ID (FeliCa card) 2) an IC Employee ID and IC Authentication Card or 3) a Facilities Use ID.

学生の方には原則として認証ICカードは発行していません.ただし,認証ICカードは,財務会計システム等のセキュアなシステムへのログインに使用しますので,業務上必要と認められる場合には,発行することがあります.所属部局の担当にご相談ください.

Persons who login to groupware as university staff are will be issued an IC Authentication Card, since it is recognized that they need this for their work. Please apply for the card through your department.

認証ICカードは財務会計システム等のセキュアなシステムへのログインに使用します.認証ICカードは,現在は職員番号ごとに発行していますので,業務上必要な場合は,複数発行することもあり得ます.所属部局の担当にご相談ください.

You use an IC Authentication Card to login to groupware. When you login to groupware, if you have different ID's for several departments, you could have several IC Authentication Cards. You should apply for an IC Authentication Card through the departments.

京大内での部局間異動であれば,認証ICカードは返却する必要はありません.そのままお使いいただけます.ただし,個人番号が変わるような異動の場合は,新しく認証ICカードが発行されますので,異動前の部局の担当に返却してください.

ICカードのリーダライタは,異動前の部局の担当に返却して,異動後の部局の担当から新たに受領してください.

Since you were transferred within Kyoto University, it is not necessary to return your IC Employee ID (IC Authentication Card). Please return the introductory support kit (including a card reader/writer) and get another one from your new department.

If your card does not respond at all to the building entrance and exit system, we think that there is probably something wrong with your card, such as a disconnected antenna. Please inquire of the ICT Support Center. After checking there, apply through your department to get your card reissued.

Through the person in charge of IC cards in your department, please contact the Registrar and Planning Section of the Education Promotion Department, the Employee Section of the General Affairs Department, or the ICT Support Center. They will be able to restore the data on your magnetic stripe.

Student IDs, Employee IDs, and IC Authentication Cards can be used as certified library cards that enable a person to use the library. There are cases in which you have to apply to use the library. The Institute for Information Management and Communication provides IC cards as Facilities Use IDs. After consulting with your department, please apply through your department to the ICT support center for a Facilities Use ID.

We introduced Authentication IC cards to strengthen physical security and information security at the university and to make university life more convenient for students, faculty, and staff. Until now, you have used your ID for personal identification. Now you can also use an Authentication IC card in a number of other ways-- as an ID for using university facilities, logging in to secure system, implementing the control for entering and leaving a building,making electronic money payments, and so on.

Authentication IC Card is not a card for personal identification. It is an IC card for logging in to the university's groupware. You can also use university facilities with it, and you can use it to make electronic payments to the university Co-op.

Your IC card not only contains the important personal information on its face, such as your photo and name, but it also has important personal information stored on it. So, you must never lend or give it to another person. Furthermore, your IC card is a sensitive, state of the art electronic device, so do not bend it, press it down, put heavy weight on it, or handle it in other rough ways that would damage it. If you lose or deliberately damage the card, or if it is stolen, you must pay the cost of reissuing the card.

A1. If you put several noncontact IC cards in your wallet together, they can be electromagnetically coupled. As a result, an IC card reader may not read their data. This problem occurs particularly with cards of the same type, such as ICOCA, PiTaPa、nanako、and WAON. Since it is possible your card will not be readable, put it in a separate wallet from your other cards.

A2. There is a commercial soft-magnetic film which you can put between IC
cards.This film might prevent their electromagnetically coupling even in the
same wallet. Please buy this type of film on your own.

Some wallets contain a plasticizing agent in the soft, transparent vinyl of the wallet. This agent can melt the printed ink on your IC card. Put your card in your wallet so that the card face does not contact the vinyl of the wallet. In particular, if the photo or ink on the face of the card becomes blurred, you will have to have your card reissued. In such a case, please contact the person in your department in charge of handling IC card applications.

The IC card has information written on a magnetic stripe in the same format used up to now on your former card. Thus, please use the magnetic stripe on your new IC card in the same way for the services you have received up to now.

The Kyoto University Co-op sells them. Please buy one at your own expense.

Since the university is already lending you one card reader/writer, please buy your second card reader/writer at your own expense from the Kyoto University Co-op.

A new card reader/writer we have for faculty and staff is smaller. It is the SCR243 model, and it can be used by insertion into a PCMCIA Type II slot. However, it can only be used with Windows. To buy it, look for it at the Kyoto University Co-op or at a large retailer.

The SCR3310 card reader/writer lent on campus and its driver are slightly different from the CSR3310-NTTCom card reader/writer. If you want to get a card reader/writer that is exactly the same as the one that was lent to your department, please consult with the Kyoto University Co-op. The card reader/writer lent to university departments on campus and its driver software go together. At a large retailer's buy a card reader/writer that is compatible with PKI software of services for the public authentication of individuals. Then install driver software that is compatible with the card reader/writer. If you do these, in principle this setup should work. We would like you to respond in this way if you buy an SCR3310-NTTCom version (compatible with public individual authentication services) in your department.
